To Our Community: A Guide to Impact Hub Ottawa's Proof of Vaccination Policy

Following the government mandate requiring vaccination passports, Impact Hub Ottawa is implementing the following policies and operational practices to ensure the safety of our members, co-tenants, team, volunteers and guests. These measures rely on information shared by the Public Health Agency of Canada and the Ottawa Public Health unit.

Effective September 22, 2021, we will require proof of identification and proof of full vaccination for all members and guests of the Hub prior to entering the space.

Update: effective the week of October 18, 2021, Ontario residents will be able to download their enhanced vaccine certificate (QR code) here. Only Ontario enhanced certificates can be scanned by the Hub at the moment. Individuals who do not have an Ontario enhanced vaccine certificate, will need to follow the steps detailed below in order to provide proof of vaccination.

If you've already shown proof of vaccination at the Hub, you will not be asked to do so again.

Note that to ensure maximum safety, current mask mandates and distancing will remain in place until further notice.

How can I get proof of vaccination?

  • If you are an Ontario resident you can download your proof of vaccination here.

What does ‘fully vaccinated’ mean?
An individual is considered fully vaccinated if they have received: 

  • The full series of a COVID-19 vaccine authorized by Health Canada, or any combination of such vaccines, or 

  • One or two doses of a COVID-19 vaccine not authorized by Health Canada, followed by one dose of a COVID-19 mRNA vaccine authorized by Health Canada, or 

  • Three doses of a COVID-19 vaccine not authorized by Health Canada; and 

  • They received their final dose of the COVID-19 vaccine at least 14 days before providing the proof of being fully vaccinated.

Impact Hub Ottawa is an advocate of vaccination. Our conviction is based on reliable, evidence-based research proving that the vaccine is one of the most reliable measures to help combat this ongoing pandemic. To protect our team, our patrons, and the more vulnerable members of our larger community, we encourage anyone who is able to get a complete vaccination to do so at their earliest convenience.

Current team members have been fully vaccinated and self-administer voluntary COVID-19 Rapid Antigen Tests at least twice a week. New staff will be required to be fully vaccinated and be offered the opportunity to self-test. 

What does this mean for members?
Members who wish to use the space for coworking, meetings, events, etc. will need to provide proof of vaccination. This includes all members with private offices, full-time coworkers, part-time coworkers, dedicated desk users, co-tenants and partners who share our space.

The only exception to this is written proof of a medical reason, written by a physician or registered nurse that provides
(i) a documented medical reason for not being fully vaccinated against COVID-19, and
(ii) the effective time period for the medical reason.

How can I declare my vaccination status?
To indicate vaccination status, members will need to present proof of vaccination along with valid identification to one of our hosts upon entering the space. Proof of your vaccination status will be verified by our Hub team. Your name, date of birth, and vaccination information will be confidentially held by members of our team and will never be shared with a third party. Your health card number is not included in your proof of vaccination document. Exemption documents will be scanned and stored safely and confidentially with us in order to corroborate your status.

How can I provide proof of exemption?
Individuals who are providing proof of exemption must provide a written document by a physician or a registered nurse and must contain the following:

  • The name and contact information of the physician or registered nurse in the extended class;

  • The logo or letterhead identifying the physician or registered nurse in the extended class;

  • A statement that there is a medical reason for the individual’s exemption from being fully vaccinated against COVID-19; and

  • Any effective time period for the medical reason which includes the date the patron is seeking access to the business or organization.

Individuals who have a medical exemption will be required to: 

  1. Pass their health declaration test

  2. Remain masked and physically distanced from other Hubbers at ALL times while in the space;

  3. Take an in-house antigen rapid-test once a week, and 

How often do I need to present this information? 
Members will only be required to present this information once. The status will be recorded in the respective member's account until October 22, 2021, by which time the Ontario government will have developed an enhanced vaccine certificate, as well as a verification app to streamline the process.

What does this mean for other patrons, visitors and guests?
As the number of people in our space is expected to ramp up in the coming months, Impact Hub Ottawa will be limiting meeting room and event space bookings during business hours. 

Proof of vaccination will be required to enter the space, and patrons, visitors and guests will need to show a receipt of their second authorized dose issued at least 14 days prior to their visit, along with a piece of identification before entering Impact Hub Ottawa.
